When Should I Use a Cash Receipt?
A cash receipt should be issued every time cash exchanges hands as it acts as a payment receipt and proof of purchase for a cash transaction.
There are many reasons a customer may pay by cash, including; sales at a show or exhibition, rent of a property, local sales online through places like Facebook and selling to friends and family. Cash is used less and less in business now as payments by debit card, PayPal and bank transfers are far more common.
Using a cash receipt template in the UK can really help out if you’re selling at fairs and want to keep track of all your sales properly. Plus, it gives your customers your contact details, making it easier for them to buy more from you in the future.
How to use our Free Cash Receipt Template
The templates are set up as two cash receipts per sheet; you can either print them off and fill them in by hand or complete them on the screen. There is space on the right-hand side to enter your business details; we have left this blank so you can put your business logo, address, name or contact details.
As with any accounting document, keep a duplicate copy for your records; to achieve this, use duplicate paper in between two sheets or print two copies. Keep the sales receipt in a file by either date, order, or customer.
It is worth adding as much detail to the receipt as possible if you then need to look at the form for any reason, you will know what it is for.
Each cash payment receipt will need the following payment details completed:
- Payment Date – This is the date that a cash payment is received.
- Receipt Number – If you have a few cash transactions, it may be easier to track them by using a numerical sequence.
- Description – Enter a complete description of the cash purchase. If the receipt is for a part payment, you might want to write a note for the remaining balance due.
- Quantity – Enter the number here
- Price – Enter the unit price
- Signature – This is to confirm that you received the payment
If you enter the figures on the computer, all the totals will automatically calculate for you.
You should keep all accounting documents for at least six years and ensure that you have a good filing system in place. The best way to file sales receipts is by date order.

If you are after a sales receipt PDF, complete all the business details and delete all the sections that are required blank to complete by hand. The document can then be printed; under the printer type, choose print as pdf. Then save the document in a folder. Full details on how to complete this are on Adobe.
Word Cash Receipt Template

Using a cash receipt book has some advantages, as the receipts are pre-printed and have a number. The pages also include a duplicate sheet; everything is kept in one place. For reference purposes, you also have the receipts in one place without having to file paperwork.
Point of Sale
Most shops use a point-of-sale system or cash register for cash payments. Although there is a big expense with the initial outlay, they can save time and load the information directly into accounting software.
Accounting Software
Accounting software has a receipt template already set up normally as an invoice. Enter the details into the invoice and then enter the payment amount and date. This is a good way to create professional receipts while keeping all the accounts in one place.
